Who we are

PhoneTrax Pro is a second-hand phone shop management software owned and operated by Vraj Motors, registered at:

38, GIDC, Anjar, Kutchchh — 370110, Gujarat, India.

Throughout this policy, "we", "us", and "our" refer to Vraj Motors. "You" or "your" refers to any person who creates an account or uses PhoneTrax Pro — including shop owners, sales managers, and salespersons.

What information we collect

We collect two types of information:

Information you provide directly:

• Account details — your name, email address, phone number, and password (stored as a secure one-way hash, never in plain text).
• Shop information — shop name, branch names, branch addresses, and city.
• Staff details — names, email addresses, phone numbers, and roles of staff members you add to your account.
• Business data — phone inventory records (brand, model, IMEI, storage, color, condition, price), customer names and contact details, ID proof types, transaction records (purchase and sale), repair logs, consignment records, daily closing entries, and phone photos you upload.
• Payment information — your chosen subscription plan, billing duration, and payment status. We do not store credit or debit card numbers. All card payments are processed by Razorpay, and all UPI/Google Pay payments are processed by Google Pay, each under their own privacy policies and PCI-DSS compliance.

Information collected automatically:

• IP address, browser type, device type, and operating system.
• Pages visited and features used within the app, for performance monitoring and debugging.
• Session tokens to keep you logged in securely.

How we use your information

We do not use your business data (inventory, customers, transactions) for any purpose other than providing the service to you.

Storage and security

Your data is stored on secure servers. We apply the following protections:

• All data transmitted between your device and our servers is encrypted using HTTPS/TLS.
• Passwords are hashed using a strong one-way algorithm (bcrypt) and are never stored or transmitted in plain text.
• Access to production databases is restricted to authorised personnel only, protected by strong authentication.
• Phone photos are stored in a private directory and served via a secure CDN.

We retain your data for as long as your account is active. If you request account deletion, we will permanently delete your data within 30 days, unless we are required by Indian law to retain it for a longer period.

Data sharing

We do not sell, rent, or trade your data to any third party.

We share data only in these limited circumstances:

• Razorpay — receives transaction details necessary to process web payments. Governed by Razorpay's Privacy Policy.
• Google Pay / Google LLC — receives transaction details necessary to process Android app payments. Governed by Google's Privacy Policy.
• Hosting and infrastructure providers — store and serve the application on our behalf, under strict confidentiality and data processing agreements.
• Law enforcement or legal authorities — only when required by a valid court order or legal obligation under the laws of India. We will notify you of such a request where legally permitted.

Your rights

You have the following rights regarding your personal data:

• Access — request a copy of all personal data we hold about you.
• Correction — request correction of inaccurate or incomplete data.
• Deletion — request deletion of your account and all associated data.
• Portability — request your business data (inventory, customers, transactions) exported in a readable format (CSV or JSON).
• Objection — object to any processing of your data that is not strictly necessary to provide the service.

Cookies

The PhoneTrax Pro web app uses cookies strictly for the following essential purposes:

• Session cookies — to keep you securely logged in during your browsing session. These expire when you close your browser or log out.
• Remember-me tokens — optional, set only if you choose "Stay logged in", stored for up to 30 days.

We do not use advertising cookies, third-party tracking cookies, or analytics cookies that track you across other websites.

Children's privacy

PhoneTrax Pro is a business management tool intended for adults (18 years and above). We do not knowingly collect personal data from anyone under the age of 18. If we become aware that a minor has provided us with personal data, we will delete it promptly. If you believe a minor has registered an account, please contact us immediately.

Changes to this policy

We may update this Privacy Policy from time to time to reflect changes in our practices or in applicable law. We will notify you of significant changes by:

• Sending an email to your registered email address at least 7 days before the change takes effect.
• Displaying a notice within the PhoneTrax Pro app.

Your continued use of the service after the effective date of a change constitutes your acceptance of the updated policy.
